Complaint and Conduct Committee
The philosophy of the Eastview Athletic Association (EVAA) is that all sponsored sports should be fun and rewarding experience for all concerned: players, coaches, spectators and referees. We strive to maintain this environment. We expect all participants, whether being players, coaches, referees, parents or spectators, to act with courtesy to all other participants.

Eastview Athletic Association will not tolerate any lack of conduct or sportsmanship by any participant. Unacceptable conduct applicable to players, coaches, referees, and spectators includes, but is not limited to:

1. Foul or abusive language.

2. Harassment of coaches, referees, players, opponents players (belittling or derogatory comments).

3. Any form of taunting which is intended or designed to embarrass, ridicule, or demean others under any circumstances including on the basis of race, religion, gender, or national origin.

4. Threats of aggression (threatened, attempted, or actual physical violence).

5. Any form of sexual misconduct.

6. Interference of or entering the field of play by a spectator during an athletic event.

7. Willful failure to follow the directions of a referee, tournament official, or coach during the
athletic event.

8. Any form of intoxication at an athletic event.

General Statement:
If at any time a participant (player, coach, referee, parent, or spectator) observes unacceptable conduct, they must notify the appropriate sport’s Program Director by following the EVAA’s Complaint Handling Process. The preferred method for reporting this would be through the Eastview Athletic Association’s website at www.eastview-evaa.org. If this method is not available, all complaints should be received in writing.
All reported events of unacceptable conduct will be handled following the EVAA’s Complaint process. Although if it is deemed necessary by the EVAA Board Vice President, a Complaint and Conduct Committee may be formed. If at any time during an EVAA event it is felt that the behavior could effect the safety and health of any of the participants, the individual(s) in charge of the event should be notified and the athletic event should be cancelled without notice. The individual(s) should be for player and spectator misconduct, either the coaches, referees or tournament officials. For referee misconduct, the coaches or tournament officials and for coach misconduct, the referee or tournament officials. All action(s) taken in this event must be reported to the sport’s Program Director and the EVAA Board Vice President.
 

Eastview Athletic Association Complaint Process
The process for the handling of complaints and unacceptable conduct should flow as follows: (Note: If legal actions has been threatened or initiated in conjunction with a complaint, the complaint should not be investigated until Eastview Athletic Association has first obtained legal advice on the issue).

Key Points:
• The expectation is the complaint will be resolved at the earliest stage in the process.

• Complaint must be filed through the website or in a written format.

• All complaints and actions taken relating to conduct must be reported to the sport’s Program Director, the EVAA Board Vice President and the head of Risk Management for EVAA.

• Complainant has the right to elevate to the next level if not satisfied.

Complaint and Conduct Committee
Any complaint escalated to the Eastview Athletic Association Board or determined by the EVAA Vice President to be reviewed by the Board will initiate a Complaint and Conduct Committee formation. A Complaint and Conduct Committee will be made up of three members. For programs that have their own Board, the committee will consist of the Program Director, EVAA Board Program Liaison, and one other member elected by the Program’s board. For programs, which don’t have a Board, the committee will consist of the Program Director, EVAA Board Program Liaison, and the Vice President of the EVAA Board. If any of these members are deemed a participant of the formal complaint, the EVAA Board President will select another member from the EVAA Board of Directors to participate. The Program Director will act as Chairperson for this committee.

The role of the committee is to review the complaint and any previous action(s) taken. Any complaint, in which threats of aggression (threatened, attempted, or actual physical violence) or any form of sexual misconduct is involved, suspension from participation is automatic. The committee may also choose to interview any witnesses or make further investigation. Based upon their findings, the Committee will then render a decision that may include disciplinary action involving written warnings, suspension, other limitations, or expulsion from EVAA activities. All affected parties will be notified in writing of the results, disciplinary action, and appeal rights. All committees are responsible for reporting their results to the EVAA Board of Directors at the next scheduled meeting time, unless the President of the Board calls a special meeting.
